The Event

This event marked Obex’s very first product launch, making it a key milestone for the business. Our role was to bring their vision to life and ensure the entire experience ran seamlessly, from detailed pre-event planning through to smooth on-site delivery. With a strong focus on efficiency, flow, and brand presentation, we supported Obex every step of the way to deliver a professional and impactful launch 

The primary objective was to showcase Obex’s product model as the central feature of the event. Equally important was creating a personal, relationship-driven experience for their key clients. The event was designed to encourage meaningful conversations, allowing Obex’s account managers to demonstrate the product in detail and engage directly with attendees in a more tailored, hands-on way. 

The Challenges

The event came with several operational challenges, starting with a very limited set-up window of just 45 minutes, requiring precise coordination and rapid execution. 

Delegate registration was managed directly by the client, which meant final attendance numbers were not fully confirmed in advance. This created additional complexity around venue security and guest flow, particularly with badge and lanyard distribution on arrival. 

The product model arrived later than scheduled, and with extremely strict lift access timings at the venue, this resulted in a short delay to the final set-up. 

Finally, all event suppliers were in-house and not previously known to us. Working with new supplier teams on the night required quick adaptation and clear communication to keep everything running smoothly. 

The Solutions

Brightspace led venue strategy and pre-event planning, challenging the original brief to explore options that delivered maximum impact and strong attendance. Detailed planning documents. As well as on-site adaptability ensured logistical constraints were managed effectively for a smooth delivery. 

Brightspace supported on-site registration and guest flow, implementing a badge system that resolved initial list discrepancies and improved check-in efficiency. 

Despite a delayed product arrival and tight access windows, Brightspace worked closely with the venue to adjust logistics and ensure the product was positioned in time for guest arrival. Merchandise and gift bags were prepared well in advance and received very positive feedback from attendees. 

Results

The event took place at Horizon 22 and welcomed 109 guests, including Obex Account Managers, technical staff and the owners and leaders from their key clients. We collaborated closely with three external suppliers to deliver the event. The format centred around strong brand visibility and a series of presentations from expert keynote speakers, reinforcing Obex’s positioning and product offering. 

  • 109 attendees on the night, including guests, event delivery teams, and technical suppliers 
  • 67 guest attendees from an expected audience of 97 invited guests 
  • Nearly 70% attendance rate, significantly outperforming the industry average of ~50% for free events 
  • Guests who formally accepted the invitation showed a much higher attendance rate, reinforcing the value of early confirmation and diary commitment
