ZERO100

INAUGRAL GLOBAL SUPPLY CHAIN FORUM

Zero100 brought 120 of the world’s most senior supply chain leaders together for three days at one of Miami’s most sustainable hotels, and the event reminded us that the best team for the job isn’t always the one already in your contacts list.

OVERVIEW

BEHIND THE SCENES

Zero100’s mission is to accelerate the journey to Net Zero, 100% digital supply chains — and their inaugural Forum in Miami was designed to prove they meant it.

Three days of groundbreaking plenary sessions with C-Suite attendees, AI-scheduled networking meetings and high-challenge roundtables at the 1 Hotel South Beach — we were seriously impressed with a genuinely eco-sensitive hotel. The building recycles its own rainwater, runs on solar power, and takes sustainability seriously at every level of its operation. It made perfect sense to hold such an innovative event at a venue that matched their ambitions.

We should also note the somewhat ironic row of supercars that regularly appeared in the hotel’s valet lane but, Miami, as they say, is Miami!

Brightspace was brought in to manage delegate registration, event technology and on-site operations — and to do what we always do when we land somewhere new: build a working team from scratch and make sure everyone on-site, from the AV crew to the venue staff, is pulling in the same direction.

BRIEF

VIP DELEGATES, MULTIPLE APPS, NET ZERO MISSION

Zero100 wanted their inaugural Forum to immediately establish them as a bold, inspiring and market-leading force in the global supply chain community. The audience — C-suite, senior operations and supply chain leaders from major international brands — expected a flawless, intelligent experience that reflected their own exceptionally high professional standards.

The programme combined keynote sessions, AI-curated one-to-one networking meetings (needing integration between Grip and Cvent), interactive roundtables and breakouts across three days. Every element of the delegate experience — personalised agendas, push notifications, live updates — had to work without a hitch. And critically: every supplier and material choice had to withstand sustainability scrutiny from an audience that lives and breathes this.

CHALLENGES

SENIOR AUDIENCE, LIVE CHANGES, HIGH PRESSURE DELIVERY

The sustainability brief here was among the most rigorous we’ve encountered. We interrogated every element of our supply chain — every supplier, product and logistics decision — against Zero100’s own exacting standards. There was no room for greenwashing in front of this audience, and we weren’t going to offer any.

The VIP audience brought its own pressure. Senior supply chain leaders are time-poor almost by definition — every minute of the programme had to feel purposeful, personalised and genuinely worth the journey. Last-minute schedule changes, driven by the realities of executive diaries, required the kind of rapid, invisible problem-solving that only experience delivers.

And then there’s the challenge that rarely makes it into case studies: arriving in an unfamiliar city at an unfamiliar venue, not knowing the AV team, the venue operations staff or anyone else on the ground — and building a cohesive working unit within the first few hours. That’s a skill we’re particularly proud of, and Miami tested it in the best possible way.

SCOPE

EVENT TECHNOLOGY &
ONSITE OPERATION

EXECUTIVE GATHERING

The most senior leaders in global supply chains all attending one event.  The innaugral forum attracted a very high level of attendees for the first industry forum totally focussed on the future of supply chains.

EVENT TECHNOLOGY

Full delivery of the tech platforms across Cvent  -registration, event app, Q&A, session feedback, push notifications – and Grip for AI-curated one-to-one networking meetings.  Complete with live updates throughout the three-day programme.

ONSITE MANAGEMENT

Registration desk management, badging, real-time agenda updates, personalised welcome bags, transport coordination and all the on-the-ground problem-solving that keeps a live event with 120 VIP delegates running seamlessly.

OUTCOME

HIGH ENGAGEMENT, STRONG FEEDBACK, SUCCESSFUL LAUNCH

The inaugural Forum was a resounding success. Zero100 established themselves immediately as a bold, market-leading presence in the global supply chain space. Every session ran. Every networking meeting happened. Every last-minute change was absorbed invisibly by the tech platform before any delegate needed to be told.

The session feedback collected through the event app gave Zero100 genuine, actionable data for future Forums. Relationships built during the event extended well beyond the three days — which is, after all, the point.

On the ground, something else stayed with us. The relationships we built during setup and delivery — with the AV team, the venue operations crew and, even the security team working the escalators (two genuinely impressive individuals who turned out to be running their own web development businesses between shifts) — reminded us why we love this work. Every event is full of interesting, talented people; not just the delegates in the room.
