BEHIND THE SCENES

Three days. Six simultaneous rooms. 350+ international delegates. 1,650+ award submissions — every single one with a video presentation that had to work perfectly on screen. A gala dinner for 300. And a programme moving so fast that the event director had been holding the whole thing together personally for years, running on adrenaline and goodwill alone.

Brightspace joined at a late stage, when QS’s internal team hit capacity and the overloaded team desperately needed people who could step in immediately, take ownership completely, and operate without a single moment of hand-holding. We did exactly that.

BRIEF

RECORD SCALE

QS Reimagine Education had been running for over a decade, but 2025 was its biggest year yet — record submissions, record judges, record complexity. With 21 award categories, 1,344 international judges, a Grand Jury of 50+, and delegates arriving from around the Globe this was no ordinary conference.

The programme was designed to let delegates flow freely between rooms and sessions, which made for an exceptional delegate experience — and an exceptionally demanding operational challenge to keep everything running to time.

Brightspace had been on QS’s radar for years. When the scale of the 2025 event finally outgrew what their internal team could manage alone, we got the call. The brief was clear: step in fast, take the operational load off the Event Manager’s desk, and deliver a flawless experience for some of the world’s leading voices in higher education.

CHALLENGES

TECHNICAL PRECISION

The first challenge was time. Brightspace joined late, which meant rapidly absorbing a complex run-of-show, getting across hundreds of award submissions, and validating every single presentation — each one containing video — before the doors opened. There was no margin for error: a failed video on screen during an award showcase is not a minor inconvenience. For the person who spent months creating that submission, it’s a disaster.

The second challenge was coordination. Six rooms, spread across separate parts of the QEII Centre, running simultaneously, with speakers moving between sessions, schedules shifting in real time, and communication relying on phones and whatever five-minute windows appeared between sessions. The stakeholder mix alone would test most teams: ministers, keynote speakers, award entrants, exhibitors, VIPs, sponsors, and 350+ delegates from across the globe, each with their own expectations and requirements.

And then there was the moment nobody plans for. A speaker, en route to deliver her presentation, was in a (thankfully minor) car accident. The clock was ticking. The room was waiting.

SCOPE

SIX-ROOM MANAGEMENT

PRE-EVENT PRESENTATION MANAGEMENT

We checked, organised and validated all 200 finalists award submissions and video content before the event — loading every presentation with full accuracy verification and providing detailed technical specs to AV and operations teams. Nothing was going on screen without us being certain it would work.

FOUR-ROOM ON-SITE MANAGEMENT

Four dedicated Brightspace event managers, 1 per room and some covering 2, for the full 3 days. Each responsible for speaker setup and briefing, AV coordination, running order management, timing precision, audience flow, and real-time problem-solving — with cross-team communication to handle speakers moving between spaces.

AV & TECHNICAL COORDINATION

We built relationships with the venue and AV teams from day one, becoming the first port of call for anything technical. Where we could troubleshoot, we did — quietly and quickly, without escalating to the client. The result: zero technical failures across the entire 3-day programme.

STAKEHOLDER & CRISIS MANAGEMENT

From briefing MCs and managing VIP speaker requirements to handling a real mid-event emergency — a speaker arriving shaken from a car accident — we managed every curveball calmly and invisibly. She walked on stage as planned. The audience noticed nothing.

OUTCOME

ELECTRIC ATMOSPHERE

Every presentation ran. Every video played. Every speaker hit their slot. Across 6 rooms, 3 days, and 1,650+ submissions, the technical delivery was flawless — and the one genuine crisis of the event was handled so smoothly that the audience had no idea it had happened.

The bigger outcome was what happened to Maninder. For the first time in years, she wasn’t buried in operational detail. She was out on the floor, talking to delegates, absorbing feedback, thinking about what the programme could become. That’s not something that usually happens for her at this event — and it happened because we were there to take everything else off her plate.

Monica Hornung Cattan, writing from a plane somewhere over the Pacific, summed it up well: this was the year it didn’t fall over.
